How to Update Students and their Preceptors on Core Skills Progress

There are two main aspects of this process that are important to pay extra attention to.
1. Always update the hours in your students' profiles before sending out these emails.
2. Ensure you are sending the correct emails to the correct preceptors. It is easy to get overly comfortable when doing tasks repeatedly, but mistakes add confusion and take away the value add of this process.

Updating The Student Account

  1. Whenever a student has completed a skill, their student tab will need updated. To do this, go to the student's account and click on the "Student" tab and edit the Student Information.

Info
You will see there is a part "a" and part "b" for each skill.
-Part a is where you mark the skill as "complete" when they complete the didactic portion.
-Part b is where the preceptors update when the skill was practiced through the attendance form.
When you update part a for any skill, it will now populate into the email templates and core skills reports. Yay!
2. Update the appropriate skills as "complete" based on their Core Skills grades.
3. Once your student's file is up to date, you can send the email to the student and their preceptor.
      a. Locate the list for Program Coordinator assignments
      b. Click "Send Email" on the student's page.
            i. Select the email that corresponds to the block you are in:
                  1. "Core Skills Updates Block 1"
                  2. "Core Skills Updates Block 2"
                  3. "Core Skills Updates Block 3"
                  4. "Core Skills Updates Block 4"
      c. In the email, choose "Options" and "add CC".
      d. Copy the Program Coordinator's email address from the assignment list and paste it into the CC.
      e. Hit send.
Idea
If you have multiple students with the same preceptor, or you are instructed to send to the Program Coordinator instead, you can send bulk reports of students if filters are set up for you. Reach out to your Lead Instructor or the Director of Education with this request and they can discuss with the SIS Program Manager at their regular meeting.
