Setting Up Your @nimaa.edu Email Account (Office 365)

Important Information Regarding Your NIMAA Email Account

Upon being accepted into the NIMAA program, you will receive access to an @nimaa.edu email address (e.g. FirstName.LastName[cohort year]@nimaa.edu, for example, if you are enrolled in NIMAA's Spring 2024 cohort, your email will be FirstName.LastName24@nimaa.edu. ). Throughout the onboarding process and the program, all emails from NIMAA will be sent to this email address. Your username and password for your NIMAA email is also how you will access other NIMAA systems, such as Populi, which is your student dashboard for all things NIMAA (e.g. payments, online coursework, grades, transcripts, program calendar, etc.). As such, it is critical that you get this email account set up as quickly as possible and check it frequently.
You have multiple options to access your NIMAA email:
  1. You can access it online through any web browser, and
  2. You can add it to the primary email program you use on devices you regularly use (e.g. your personal computer, phone, tablet). 
NIMAA strongly recommends that you add this email to your devices so that you do not miss important NIMAA communications.

Accessing Your NIMAA Edu Email Account from a Web Browser

For the First Time

To access your email from a web browser, follow the instructions below. Any web browser on any device should allow you to access Office 365 online:

  1. Go to: https://login.microsoftonline.com/. 
  2. Enter your NIMAA email in the Email field.
    Your email will be in the following format: FirstName.LastName[cohort year]@nimaa.edu, for example, if you are enrolled in NIMAA's Spring 2024 cohort, your email will be FirstName.LastName24@nimaa.edu


  3. Click the Next button.
  4. Enter your password in the Enter password field.
    Note: Your initial password is Change.me1. You will be prompted to change it upon logging in the first time. 


  5. Then click Sign In. The following dialog will display.
  6. Click Next. A page displays requiring you to set up multi-factor authentication to secure your account.
  7. You have several options for setting up MFA the FIRST time you log in. You will then have additional options for subsequent logins. Note: We strongly recommend that you use the same authenticator app for both Populi and your Office 365 account, as it will be easier to manage. 
    1. Download the default Microsoft Authenticator app by clicking Download now. Note that this app only works on mobile devices; you cannot use it on a computer.
    2. Alternatively, click the link I want to use a different authenticator app to set up an alternate app. If you do not have continuous access to a smart phone, we recommend that you use this method and use the Twillio Authy app, which can be used on both mobile devices and computers. 
  8. If you are using an app on your computer (Authy) to authenticate your account, follow the instructions below. 
    1. Open Authy on your computer.
    2. Click Next in the browser in which you are trying to set up your Office 365 account.


      The screen below displays.

    3. Click Can't scan image, as the desktop version of Authy does not support QR code scanning.
    4. Click the Copy  icon next to the Secret key that displays.

    5. In Authy:
      1. Click the + icon in the top right to add Office 365 as an account to your authenticator app list.
      2. Paste (click Ctrl+P) the code you just copied from Office 365 into the Enter code given by the website field.
      3. Click Add Account.
      4. Give the account a name (e.g. NIMAA EDU Account). Select a color. Then click Save.
    6. Return to the browser in which you are trying to authenticate the Microsoft account.
    7. Enter the six digit code generated by Authy. Click Next.

      The system will now ask you to authenticate by phone.

    8. Enter your phone number in the screen that displays and select whether you wish for it to text you a code or call you.
    9. Then click Next. The system will either call you or send you a text.
    10. Enter the code you are provided into the screen that displays, and then click Next.
      The following screen should display.
    11. Click Next. A Success message should display.
      1. Click Done. You will now be logged into the system and that device (or browser) is now "recognized".
    12. If you are using the Microsoft Authenticator on your mobile phone to authenticate your account:
      1. Open the authenticator app on your mobile device.
      2. Click Next in the browser in which you are trying to set up Microsoft 365. A QR code displays with instructions for pairing the authentication app with Microsoft 365.
      3. Scan the QR code using the authenticator app.
      4. Set up the account in your authenticator app using the instructions provided by the app. After it is set up, it will generate a six digit verification code  for you.
      5. Enter the six digit code generated by the authenticator app.
      6. Then click Next.
      7. You will then be asked to set up an alternate authentication method, such as verifying by phone. Follow the instructions for doing so.
      8. You will then be able to log in to the system.

Subsequent Times (after MFA is set up)

To access your email from a web browser, follow the instructions below. Any web browser on any device should allow you to access Office 365 online. 

  1. Go to: https://login.microsoftonline.com/. 
  2. Enter your NIMAA email in the Email field.
  3. Enter your NIMAA password in the Password field.
  4. Click Log In.
  5. Enter the 6-digit code from your authenticator app, if requested.

Adding Your NIMAA Email to Microsoft Outlook

If you use Microsoft Outlook as your primary mail platform, follow the instructions below to add your NIMAA account:
  1. Open Microsoft Outlook on your computer/device.
  2. Once Outlook is open, go to File > Account Information.
  3. Click the Add Account button in the top left.


    The Auto Account Setup box displays. 


  4. From the Auto Account Setup box: 
    1. Keep the E-mail Account radio button checked.
    2. Complete the following fields with the account information provided to you.
      1. Your Name
      2. E-Mail Address
      3. Password
        1. Your initial password is Change.me1. You will be prompted to change it upon logging in the first time. 
        2. If you changed your password when logging in through the web browser, enter the new password here.
      4. Retype Password
    3. Click Next.
  5. Outlook will search to find the mail server info.


    Once the server info has been found, a popup will display asking you to enter your password.

  6. Enter your password again, and click Sign In. The Verify your identity box will then display.

  7. Select how you want to be sent a code to verify your identity:
    1. Text: The system will send you a text message on the phone shown on this screen the ends in the digit 
    2. Call: You will get a robo call to the number entered.
  8. After selecting your verification option, the following will display.

  9. Enter the code you received either to text or via the robo call. Then click Verify. This completes the adding of your account.


  10. Click Finish.
  11. Finally, you must restart your Outlook account. You will be prompted to do so.


  12. After restarting, you will see a prompt that Outlook is setting up a new local profile.
  13. If this is a second email that you added to a current Outlook account, do the following to access the inbox:
    1. Scroll under your current email box. You will see your name.
    2. Click on the white arrow to expand your view. You will see Inbox, Draft, Sent Items, etc.
