Make an Appointment with Your Instructor

Instructors are often your go-to point of contact for any questions about the course. You can schedule with your instructor or other student support teams directly through their scheduling link. Here is how to make an appointment with your instructor.

Direct Link

One way to schedule a meeting is through your instructors direct link. This link is often found within Populi or provided by your instructor. Clicking on this link takes you to the scheduling link.

Make an Appointment

Step 1: Book a Day and Time

Click 'Book' next to the instructor or team you wish to schedule with to see available time slots. Confirm your time zone or select the correct time zone from the drop down menu. (If your instructor is in a different time zone than you, the system will do the conversions automatically.) Pick a day that works for you and click on the time you would like to schedule.


Step 2: Enter Appointment Details

Enter your name, email, phone number, and a brief synopsis of the meeting reason. This description helps your instructor prepare for the meeting. 

Step 3: Book

In order to book you do have to agree to the privacy policy by checking the checkmark. Then click "Book".



You will get an immediate confirmation screen on the scheduling website when the appointment is scheduled.



You will also get a notification on your phone confirming the appointment.



After a few minutes you will get an email confirmation sent to the email address provided during scheduling.
Subject: The National Institute for Medical Assistant Advancement: Appointment

The confirmation email includes:
  1. Calendar invite
  2. Meeting details
  3. Zoom link and alternative local dial in numbers
  4. Reply, Change or Cancel option

The confirmation email contains important details about your appointment. It's recommended to keep this email until after the appointment has passed.

Step 4: Add to Calendar

Adding the meeting to your calendar ensures that you won't forget about it. By having it scheduled in your calendar, you'll receive reminders leading up to the appointment time, helping you stay organized and prepared. Additionally, it helps you manage your time effectively and avoid scheduling conflicts.

Once you get the confirmation email you should open the attached invite to add it to your calendar. (There are alternative options in the confirmation email, scroll down and click on + Add to Outlook, + Add to Office 365, + Add To Google, or + Add To Yahoo.)

Continue adding the appointment to your calendar. (Ex. "Save & Close" in Outlook.)

Step 5: Join Meeting

At the time of the meeting, open the calendar item or the email confirmation and click on the Zoom hyperlink provided.

Cancel 

Occasionally, unexpected circumstances arise, making it impossible for you to attend a scheduled meeting. In such situations, it's considerate to promptly cancel or reschedule the meeting. This ensures that you free up the instructor's time and allows for better organization of everyone's schedules.

Should you need to cancel the meeting, find the email confirmation or the calendar item, and click on the link or button to cancel.


Confirm action by clicking Cancel Appointment. This will send an email to the instructor notifying her of the change.


You will know the appointment has been cancelled when the "cancelled" status appears in the appointment details window, you get a phone notification, and you receive a cancellation email. 

Reschedule

If you need to change the date or time of your appointment, follow these steps.

Locate the confirmation email you received when you booked your appointment. This email contains important details about your appointment, including a link to reschedule. Click on the provided link to access the rescheduling page.

Once you're on the rescheduling page, choose a new date and time that works for you from the available options.

Review your new appointment details and confirm the changes. You may need to agree to the privacy policy again before rescheduling.

After rescheduling, you'll receive a confirmation screen indicating that your changes have been saved. Open the updated confirmation email and add the new appointment to your calendar to ensure you don't miss it.
