Instructor Guide: Communicating Student End-of-Block Progress
This guide outlines the required process for instructors to communicate End-of-Block progress to students. It includes when and how to send the End-of-Block Progress Update email, as well as the information that must be updated for each student.

Purpose of the End-of-Block Progress Update
The End-of-Block Progress Update email ensures students receive timely, accurate information about their academic standing before attending their AMA Week Seminar. This helps students understand their progress, proactively address concerns, and plan next steps. 

Timeline & Requirements
To maintain consistency and ensure students receive the information they need:

During EACH AMA Week
  1. Instructors must send the End-of-Block Progress Update email to every student.
  2. This email must be sent after all grading from the previous week is complete.
  3. The email must be delivered before the AMA Week Seminar, which is always held on Wednesday of AMA Week.
Recommended Workflow
  1. Complete all prior week grading as early as possible during AMA Week.
  2. Review each student's academic progress metrics.
  3. Update the email template with student-specific information.
  4. Send the completed End-of-Block Progress Update email no later than Wednesday morning.

Information Required in the Email
Each instructor must update the following fields with accurate information from Populi and program tracking systems before sending the email.

Academic Progress
  1. Block GPA: [Insert Block GPA]
  2. Cumulative GPA: [Insert Cumulative GPA]
  3. Courses with a Failing Grade: [Insert any failing courses or 'None']
  4. Courses in Remediation: [List courses or 'None']
  5. Externship Hours: [Completed] / [Required] hours
  6. Seminar Attendance: [Insert %]
  7. Skills Lab Attendance: [Insert %]
  8. Outstanding Skills: [List all outstanding skills or 'None']
Instructor Notes
[Insert personalized notes: progress, concerns, reminders, praise, recommendations]
Example
"You've made strong progress in your A&P coursework, but your seminar attendance and externship hours need improvement. Please ensure all required hours are completed before the end of Block 3. I appreciate your consistent communication and encourage you to continue using the weekly planning tools."

Expectations for Tone & Professionalism
When writing the update
  1. Maintain a supportive, student-centered tone.
  2. Be clear, factual, and encouraging
  3. Avoid overly technical language or unclear phrasing.
  4. Highlight successes while addressing concerns.

If instructors have questions about timelines, required data, or expectations, they should contact their lead instructor or Dawn.
